Information We Collect

Information you give us through our forms. When you submit an inquiry, request a quote, or ask for a RevoraSphere demonstration, we collect the information you enter: your first and last name, your organization or municipality, your email address, and — if you choose to provide them — your phone number and the details of your message. Consent to use this information to respond to your inquiry is required to submit the form; marketing consent is always optional.

Context about your inquiry. So we can respond usefully and understand how visitors find us, our forms also record the page you submitted from, the button or link you used, the service or application your inquiry relates to, the form type, and — where available — the referring site and campaign tags (UTM parameters) that brought you to our website.

Technical information. Like most websites, our systems process technical data such as your IP address and browser type to deliver pages, protect our forms from abuse, and determine the general region a form submission comes from.

Why We Use Your Information

We use the information described above to:

• respond to your inquiry and follow up on it;
• prepare quotes and information you have asked for;
• send you a confirmation that we received your inquiry;
• send you occasional marketing emails only if you opted in (you can unsubscribe at any time);
• understand which pages and campaigns lead people to contact us;
• keep our website and forms secure and prevent spam and abuse;
• meet legal and record-keeping obligations.

We do not sell your personal information. We do not display third-party advertising on this website.

How Your Inquiry Is Processed

When you submit a form:

1. CRM (HubSpot). Your inquiry details are recorded in HubSpot, the customer relationship management system we use to track and respond to inquiries. HubSpot stores your contact details, your organization, your message, the context described above, and your consent choices.
2. Email delivery (Resend). We use Resend, an email delivery service, to send you an acknowledgement email and to notify our team of your inquiry.
3. Short-term retry storage. If our CRM is temporarily unavailable when you submit a form, we keep a minimal copy of your inquiry in secure, access-controlled short-term storage so we can complete the transfer automatically. This retry record is kept for up to 7 days at most and is deleted immediately once the transfer succeeds. If the transfer cannot be completed within 7 days, our team is alerted and handles your inquiry manually.

Marketing Emails and Your Preferences

If you tick the optional marketing consent box, we may send you occasional emails about technology solutions, applications, services, events and insights. Every marketing email includes an unsubscribe link, and you can manage your subscriptions at any time through the Manage Email Preferences link in our emails (hosted by HubSpot). Declining or withdrawing marketing consent never affects how we handle your inquiry. Unsubscribing applies to marketing emails only: we can still send you transactional acknowledgements, quotations and information you have requested, service communications, and direct replies to your messages. We keep a record of when and how consent was given or withdrawn.

Cookies

We use two categories of cookies:

• Essential cookies — always active. These are required for the website to function and for form security (for example, spam protection and consent choices). They cannot be switched off.
• Analytics cookies — optional. These help us understand how the website is used. They are set only if you consent.

You can review and change your choices at any time using the Cookie Preferences link in the website footer. We do not use advertising cookies.

Analytics

If analytics is enabled on this site, we use Google Analytics 4 with consent-based controls. Analytics cookie storage is denied by default. Where configured, limited consent-mode signals may be sent without analytics cookies before consent; full analytics storage is enabled only after the visitor approves Analytics cookies. If Microsoft Clarity or Google Tag Manager are enabled, they are governed by the same consent controls. We do not send personal information — names, email addresses, phone numbers, messages or organization names — to our analytics tools.

Regional Form Availability

Our contact and inquiry forms accept submissions from Canada, the United States and India, based on a general region signal. Visitors elsewhere can always reach us directly at info@econixinfotech.com. This restriction applies to form submissions only — the website itself is available everywhere.

Third-Party Service Providers

We use a small number of service providers to operate this website and respond to inquiries:

• HubSpot — CRM and marketing email preference management
• Resend — transactional email delivery
• Vercel — website hosting and infrastructure
• Google (Analytics 4 / Tag Manager) — optional, consent-gated analytics
• Microsoft Clarity — optional, consent-gated usage analytics, if enabled
• Microsoft (Azure / Microsoft 365) — business systems used to operate Econix

These providers process information on our behalf under their own security and data-processing commitments, and we share only what is needed for the purpose described. These providers may process information in the United States and other jurisdictions in which they or their subprocessors operate.

International Processing

Econix operates in Canada, the United States and India, and our team in these locations may access inquiry information in order to respond to you and deliver services. In addition, the service providers listed above may process information in the United States and other jurisdictions in which they or their subprocessors operate. Where personal information is processed outside your home jurisdiction, it remains subject to this policy and to applicable law.

How Long We Keep Information

• Inquiry records are retained in our CRM for as long as reasonably needed to manage our relationship with you and meet legal, commercial and operational requirements.
• Retry records (used only when our CRM is temporarily unavailable) are kept for up to 7 days and deleted immediately upon successful transfer.
• Marketing consent records are kept while your subscription is active, and afterwards as evidence of consent history. If you unsubscribe, your email address is kept on a suppression list so further marketing emails are not sent unless you later resubscribe or otherwise provide new valid consent.
• Analytics data is retained according to the retention settings of the analytics tools, and only where you have consented.

Security

We protect your information with safeguards appropriate to its sensitivity, including encryption of data in transit, secure, access-controlled short-term storage for retry records, access limited to those who need it, server-side validation and abuse protection on our forms, and logging practices designed to avoid recording sensitive values. No method of transmission or storage is completely secure, but we work to protect your information using recognized practices.

Your Rights and Choices

Subject to applicable law, you may:

• ask what personal information we hold about you;
• ask us to correct inaccurate information;
• ask us to delete your information where there is no compelling reason for continued processing;
• withdraw marketing consent at any time (via any email's unsubscribe link, Manage Email Preferences, or by contacting us);
• raise a question or complaint about our handling of your information.

To exercise any of these rights, email info@econixinfotech.com. We will respond within a reasonable time and in accordance with applicable privacy law. We handle personal information in accordance with applicable Canadian privacy legislation and other laws that apply to our operations.

Changes to This Policy

If our practices change, we will update this policy and revise the “Last updated” date above. Material changes will be reflected here before they take effect for newly collected information.
